The information we collect

When you contact us

If you send an enquiry through the contact form on this website, we collect the details you enter: your name, phone number, email address, the type of work you are enquiring about, the cemetery, churchyard or location concerned, your message, and any photos you choose to upload. We collect similar information if you contact us by phone, email, Facebook or in person.

When you ask us to carry out work

If you go on to commission a memorial, inscription, renovation, cleaning or other work, we may also collect:

• your postal or billing address
• details of the person being remembered, such as their name, dates and the wording of the inscription
• the location of the grave or memorial, including plot or section details
• photographs of the grave, memorial or site, taken before and after our work
• information needed to apply for permission from the cemetery, churchyard or burial authority, including the name of the grave owner or right of burial holder
• records of quotes, invoices and payments

Information about people who have died is not covered by data protection law, but we handle it with the same care as everything else you share with us.

When you visit this website

This website does not use analytics or advertising tracking, and you cannot create an account or leave comments on it. Like most websites, our web server records basic technical information about each visit, such as your IP address, browser type and the pages requested. This is used to keep the site running securely and to diagnose problems.

How we use your information

We only use your information where the law allows us to. We use it to:

• reply to your enquiry and provide a quote (to take steps at your request before entering into a contract)
• design, make, fit and maintain your memorial or carry out other work you have asked for (to perform our contract with you)
• apply for the permits and permissions needed from cemeteries, churchyards and burial authorities (to perform our contract with you)
• keep financial and business records as required by law (to meet our legal obligations)
• help you with future work on the same memorial, such as an additional inscription or renovation (our legitimate interest in providing a good service, which families often ask us for years later)
• keep this website and our systems secure (our legitimate interest in protecting our business and visitors)

We will not use your details to send you marketing, and we will never sell your personal information.

Who we share your information with

We only share your information where it is needed to carry out the work, run our business, or where the law requires it. This may include:

• cemeteries, churchyards, parish councils, local authorities and diocesan offices, when applying for permission to fit or alter a memorial
• trusted suppliers and subcontractors who help us complete your work, where they need the details to do so
• our website and IT provider, Web X Design Studio, which hosts this website, stores enquiries sent through it and delivers website emails
• WP Compress, which delivers the images on this website from its content delivery network and so receives visitors’ IP addresses
• our accountants, bank and payment providers, and professional advisers
• HMRC and other authorities where we are legally required to share information

Anyone we share your information with is only allowed to use it for the purpose we provided it for.

Transfers outside the UK

We aim to keep your information within the UK. Some of our service providers, such as the network that delivers images on this website, may process limited technical data (such as IP addresses) outside the UK. Where this happens, we make sure appropriate safeguards are in place as required by UK data protection law.

How long we keep your information

• Enquiries that do not lead to any work are deleted within 12 months.
• Customer, quote, invoice and payment records are kept for six years after the end of the financial year they relate to, as required for tax and accounting purposes.
• Records of the memorials we have made or worked on (location, design, inscription and photographs) may be kept for longer, so we can help families with additional inscriptions, repairs or renovation in the future. You can ask us to delete these at any time.
• Website email delivery logs are kept for 14 days. Server logs are kept for a short period by our hosting provider.

How we protect your information

This website uses a secure (HTTPS) connection, and enquiries sent through it are stored securely and only accessed by people who need them. We take reasonable technical and practical steps to protect the information we hold from loss, misuse and unauthorised access.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you
• ask us to correct information that is wrong or incomplete
• ask us to delete your information
• ask us to restrict how we use your information
• object to us using your information where we rely on our legitimate interests
